Resources are the fundamental building blocks of your Gate environment. This guide teaches you how to effectively manage resources including creating new items, editing existing ones, and organizing them for optimal workflow.

Resource types

The Gate supports several types of resources:

Documents

Text-based content with formatting and collaboration features.

Collections

Grouped containers that organize related resources together.

Connections

Links to external systems and data sources.

Templates

Reusable patterns for creating consistent new resources.

Prerequisites

Access the resources section

Click on “Resources” in the main navigation sidebar.
You will see a list of resources you have access to, organized by type.

Create your first resource

Click the “New resource” button and select the resource type you want to create.
Start with a simple document if you are new to resource creation.

Configure resource properties

Fill in the required fields:
  • Name: A clear, descriptive title
  • Description: Brief summary of the resource purpose
  • Tags: Keywords for easier searching
Required fields are marked with an asterisk (*).

Save and verify

Click “Save” and confirm the resource appears in your resource list.

Practice editing

Open your newly created resource and make a small edit to understand the editing workflow.

Resource organization best practices

Well-organized resources save time and improve collaboration. Consider these guidelines when managing your resources.

Naming conventions

Use consistent naming patterns:
  • Include dates for time-sensitive resources: 2024-01-15-project-update
  • Use prefixes for categories: [API]-endpoint-documentation
  • Keep names concise but descriptive

Tagging strategy

Apply tags thoughtfully:
  • Use broad category tags: documentation, api, tutorial
  • Add project-specific tags: project-alpha, client-portal
  • Include status tags: draft, review, published

Advanced resource management

The Gate maintains version history for resources. You can view previous versions, compare changes, and restore earlier states if needed. Access version history from the resource menu.
Some resources depend on others. When deleting a resource, the system warns you about dependent resources that might be affected.
Select multiple resources using checkboxes to perform bulk actions like tagging, moving, or archiving.

Troubleshooting

Resource not appearing in search
  • Check if you have permission to view it
  • Verify the resource is not archived
  • Try different search terms or filters
Cannot edit a resource
  • Confirm you have Editor or Administrator permissions
  • Check if the resource is locked by another user
  • Verify the resource is not in read-only mode
